3. Scope
This policy covers the processing of personal data when you visit this website and when you contact us. Websites we link to have their own privacy policies.
4. Hosting and server logs
This website is hosted by Wix.com Ltd., 40 Namal Tel Aviv St., Tel Aviv 6350671, Israel. Wix processes personal data on our behalf as a processor under a data processing agreement.
When you access the site, data transmitted by your browser is processed automatically: IP address, date and time of access, page requested, volume of data transferred, referrer URL, browser type and version, and operating system. This data is necessary to deliver and secure the website.
Legal basis: Art. 6 (1) (f) GDPR. Our legitimate interest is the reliable and secure operation of the website.
Log data is deleted once it is no longer needed to operate and secure the website. The retention period is set by Wix as our processor; the data is not combined with other data and is not analysed to identify individuals.
5. Cookies and consent
We use cookies and comparable technologies. Cookies that are technically necessary to operate the site are set without consent, on the basis of Section 25 (2) no. 2 TDDDG and Art. 6 (1) (f) GDPR.
All other cookies and identifiers — at present solely for the web analytics described in section 11 — are used only with your consent under Section 25 (1) TDDDG and Art. 6 (1) (a) GDPR. You give that consent through our consent banner. You can withdraw it at any time with effect for the future via "Cookie settings" in the site footer. Processing carried out before withdrawal remains lawful.
6. Contact form
If you use our contact form, we process the data you enter in order to answer your enquiry. Your name and email address are mandatory; the message field is optional. The enquiry is sent to info@reicon.de and stored in our customer management system (section 8); it is transferred using an automation service (section 9).
Legal basis: Art. 6 (1) (b) GDPR where the enquiry relates to entering into or performing a contract, otherwise Art. 6 (1) (f) GDPR, our legitimate interest in responding to enquiries.
Retention: until the enquiry has been dealt with, at most 24 months. Statutory retention obligations under commercial and tax law remain unaffected.
7. Contact by email and telephone
If you contact us by email or telephone, we process the details you provide in order to deal with your request. Legal bases and retention are as set out in section 6.
8. Customer management (monday.com)
We manage enquiries and business contacts in monday.com, provided by monday.com Ltd., Tel Aviv, Israel. monday.com processes the data as a processor under a data processing agreement.
The data processed comprises contact details and the content and history of the correspondence.
Legal basis: Art. 6 (1) (b) GDPR for contract-related contacts, otherwise Art. 6 (1) (f) GDPR, our legitimate interest in handling enquiries and business relationships in an orderly way.
9. Data transfer between our systems (Zapier)
We use Zapier to transfer form data between the systems named in this policy. The provider is Zapier, Inc., USA. Zapier processes the data as a processor and stores it temporarily in order to execute and log the transfer.
Legal basis: the same as for the processing being transferred, see sections 6, 8 and 10.
10. Newsletter (ActiveCampaign)
We send our newsletter using ActiveCampaign, provided by ActiveCampaign, LLC, Chicago, USA, which processes the data as a processor.
To subscribe we need your email address. Subscription uses a double opt-in procedure: after you enter your address you receive an email in which you confirm the subscription. We log the subscription and the confirmation in order to demonstrate consent.
We do not measure newsletter performance: we do not record whether or when you open a message, nor which links you click.
Legal basis: Art. 6 (1) (a) GDPR. You can withdraw your consent at any time with effect for the future, using the unsubscribe link in every newsletter or by writing to info@reicon.de. After withdrawal we remove your data from the distribution list; records of consent are kept until the limitation periods expire.
11. Web analytics (Google Analytics)
This website uses Google Analytics, a web analytics service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google Analytics uses cookies and other identifiers to evaluate how the site is used: pages viewed, time spent, approximate location derived from the truncated IP address, device, browser and traffic source. We use these evaluations to improve the site and our content.
Your IP address is truncated before further processing. Transfer to Google LLC in the United States cannot be ruled out.
Legal basis: Section 25 (1) TDDDG and Art. 6 (1) (a) GDPR. The service is loaded only after you consent. You can withdraw consent at any time via "Cookie settings".
Retention at Google: 14 months.
12. Links to external services and our social media profiles
We link to Google Maps, to YouTube and to our LinkedIn company profile. These are plain links, not embedded content: no maps, videos or posts are loaded on our website, and no data is transmitted to these providers unless you click the relevant link.
If you click a link, you leave our website. From that point the provider concerned is responsible for processing your data and its own privacy policy applies. For users in the EEA the providers are Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (Google Maps, YouTube) and LinkedIn Ireland Unlimited Company, Wilton Plaza, Wilton Place, Dublin 2, Ireland.
For processing on our LinkedIn company profile we are joint controllers with LinkedIn, to the extent that LinkedIn provides us with anonymised statistics on the use of the page. We have no influence over the underlying processing. LinkedIn makes the arrangement under Art. 26 GDPR available in its legal section as the Page Insights Joint Controller Addendum.
13. Blog
Our blog articles can be read without registration. We do not offer a comment function. Sections 4, 5 and 11 apply.
14. Restricted partner area
The "Partners" area is accessible to registered users only. For registration we process your name, your email address and your password, which is stored in encrypted form only, together with the date of registration and of your logins. We use this data to give you access to the documents provided there and to restrict access to authorised users. Login uses technically necessary cookies.
Legal basis: Art. 6 (1) (b) GDPR for performing the user relationship, otherwise Art. 6 (1) (f) GDPR, our legitimate interest in protected access to confidential technical documents.
Retention: until your account is deleted. You may request deletion at any time at info@reicon.de.
15. Transfers to third countries
Some of the services we use process data outside the European Union:

Where a transfer relies on standard contractual clauses, we have agreed additional measures. A copy of the safeguards is available on request from info@reicon.de.
16. Recipients
Within our company, only those people who need your data to deal with your request have access to it. Beyond that we pass data to the processors named in this policy and to bodies to which we owe a statutory duty of disclosure. We do not pass data to third parties for advertising purposes.
17. Retention
We store personal data for as long as it is needed for the relevant purpose, and beyond that where statutory retention periods apply — in particular six years under Section 257 HGB and ten years under Section 147 AO. We then delete the data or restrict its processing.
18. Your rights
You have the right to access the data we hold about you (Art. 15 GDPR), to have inaccurate data rectified (Art. 16), to erasure (Art. 17), to restriction of processing (Art. 18) and to data portability (Art. 20). Where processing is based on your consent, you may withdraw it at any time with effect for the future (Art. 7 (3)).
A message to info@reicon.de is sufficient to exercise these rights.
19. Right to object
You have the right to object at any time, on grounds relating to your particular situation, to processing of your personal data based on Art. 6 (1) (f) GDPR. We will then stop processing that data unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or unless the processing serves to establish, exercise or defend legal claims.
Where we process your data for direct marketing, you may object at any time without giving reasons. We will then stop processing the data for that purpose.
20. Right to lodge a complaint
You may lodge a complaint with a data protection supervisory authority. The authority responsible for us is:

21. Whether providing data is required
Providing your data is neither required by law nor by contract. However, without the entries marked as mandatory in the contact form we cannot process your enquiry, and without your email address we cannot send you the newsletter.
22. No automated decision-making
We do not use automated decision-making, including profiling, within the meaning of Art. 22 GDPR.
23. Changes to this policy
We update this policy when the website or the applicable law changes.
